Getting Started
How do I sign up for CarerNotes?
You can start a free trial at app.carernotes.uk. You'll get a 14-day free trial with up to 2 carers and 25 recordings. No credit card required.
Do I need to download an app?
No app download needed. CarerNotes works in your web browser. We recommend Google Chrome on all devices for the best experience. Just visit app.carernotes.uk and log in.
What devices are supported?
CarerNotes works on any modern smartphone, tablet, or computer with a microphone. We recommend Google Chrome on all devices (iPhone, Android, iPad, desktop) for the best experience.
How long can I record for?
Each recording can be up to 5 hours long, so you can capture even the longest visits in a single recording.
How do I invite team members?
Go to Team in your dashboard, click "Invite User", enter their email and choose their role (Admin, Manager, or Carer). They'll receive an email with a secure link to join your organisation.

How accurate is the transcription?
We use medical-grade speech recognition specifically trained on healthcare terminology. It achieves 99%+ accuracy on common care terms, medication names, and medical conditions.
Can I edit the generated notes?
Yes, absolutely. After the AI generates your note, you can review and edit any section before approving. You have full control over the final content.
What sections are included in the notes?
Generated notes include: Visit Summary, Client Presentation (physical and emotional state), Care Provided, Medications Administered, Nutrition & Hydration, Concerns & Follow-up, and Handover Notes.
Can I export notes to other systems?
Yes. You can export notes as PDF documents or copy the text to paste into your care management system. API access is available for agencies on custom plans.
Can I create notes without recording audio?
Yes. If a recording fails or you prefer to type, you can create manual notes. The same structured sections are available for you to complete by hand.
Can multiple carers see the same client's records?
Yes. Client records are shared across your organisation. Any carer can see handover notes and previous visits, ensuring seamless care continuity even when different team members visit the same client.
What are handover notes?
Handover notes are persistent notes attached to each client—things like key safe codes, family preferences, or ongoing concerns. Any team member can update them, and they're visible to everyone before starting a visit.
Does CarerNotes work without internet?
Yes. You can create visits and record audio offline. Everything syncs automatically when you reconnect. If two people edit the same note while offline, we'll help you resolve any conflicts.
Pricing & Billing
What counts as a recording?
One recording is a single voice note of up to 5 hours. Each recording includes AI transcription and note generation.
Do pay-as-you-go credits expire?
Credits don't expire while your account is active. Use them at your own pace. Credits are non-refundable and expire upon account cancellation or termination.
Can I cancel my subscription?
Yes, monthly subscriptions can be cancelled anytime. You'll keep access until the end of your billing period. No cancellation fees.
Security & Privacy
Is my data secure?
Yes. All data is encrypted in transit (TLS) and at rest using military-grade AES-256 encryption. Client names are additionally encrypted using deterministic encryption.
How long are recordings stored?
Audio recordings are automatically deleted after 90 days. Transcripts and notes are retained for as long as your account is active, unless you choose to delete them.
Is CarerNotes GDPR compliant?
Yes. We are fully GDPR compliant. We process data as a data processor on your behalf and can provide a Data Processing Agreement (DPA) on request.
Who can see my notes?
Only you and authorised users in your organisation can access your notes. All access is logged for audit purposes. We do not access your data except for technical support when explicitly requested.
Is there two-factor authentication?
Yes. You can enable two-factor authentication (2FA) in your account settings. We support any TOTP authenticator app like Google Authenticator or Authy, plus we provide backup codes for emergency access.
Compliance
Are the notes CQC compliant?
Yes. Notes are structured to meet Care Quality Commission requirements for person-centred, outcome-focused care documentation. They include all the sections inspectors expect to see.
Can approved notes be edited?
No. Once a note is approved, it is locked for compliance purposes. If corrections are needed, your supervisor can add an addendum to the record.
Is there an audit trail?
Yes. We log all actions including when notes were created, edited, and approved, and by whom. This audit trail is available for inspections.
