Everything you need to know to start using CarerNotes.

Create your account

Visit app.carernotes.uk and create your account with your email address. You'll get a 7-day free trial to try the service.

Tip: Add the app to your phone's home screen for quick access. On iPhone, tap the share button and "Add to Home Screen".

Allow microphone access

When you first try to record, your browser will ask for microphone permission. Tap "Allow" to enable recording.

Tip: If you accidentally denied permission, you can change it in your phone's settings under the browser app.

Start a new visit

Tap "New Visit" and enter the client's name. The client name is encrypted and secure. Then tap the red record button to start recording.

Record your notes

Speak naturally, like you're handing over to a colleague. Include:

  • How the client is today (physical and emotional state)
  • What care you provided
  • Any medications given
  • Food and drink offered
  • Any concerns or handover notes
Tip: Don't worry about being perfect. The AI understands natural speech and will structure your notes professionally.

Stop recording and upload

Tap "Stop" when you're done. The recording will upload automatically. This usually takes 1-2 minutes depending on your connection.

Wait for AI processing

The AI will transcribe your recording and generate structured notes. This typically takes 2-5 minutes. You'll see a notification when your note is ready.

Review and edit

Check the generated note for accuracy. Tap any section to edit it. Make sure medication names, quantities, and client details are correct.

Approve and export

When you're happy with the note, tap "Approve". The note is now locked for compliance. You can export it as a PDF or copy the text for your care management system.

Important: Once approved, notes cannot be edited. Contact your supervisor if corrections are needed.

Recording Tips

Do

  • Speak clearly at a normal pace
  • Include all care activities
  • Mention client's mood and engagement
  • Note any concerns for follow-up
  • Record while events are fresh

Don't

  • Record in very noisy environments
  • Speak too quickly
  • Include personal conversations
  • Record other clients' information
  • Forget to mention medications
